Post Event Follow Up Strategy: How to Turn Leads into Revenue
And breathe. You’ve made it. The exhibition carpet has been rolled up, the remaining collateral boxed away, the last of the stand chocolates eaten, and you’re now quietly begging your feet for forgiveness after standing constantly for 8 hours straight on solid concrete each day. So what’s next? It’s the post event follow up.
So, if you’re planning on returning to the office and dumping a spreadsheet of badge scans into your CRM and thinking “Well, that’s another event wrapped up!”, think again. The party is only just getting started.
If pre-event marketing builds anticipation and event day creates connections, post-event follow-up is where your actual return on investment is won or lost. You can have the most impressive stand on the floor, run live demos that draw a crowd, and leave with a stack of leads that would take a week to work through. But if those leads sit untouched in an inbox for three weeks, you haven’t invested in building your business. You’ve just funded a very expensive team outing.
That’s why getting your post-event follow-up right matters as much as everything that came before it.
Why Most Exhibitors Fail at Follow-Up (The “Post-Show Hangover”)
Research consistently points to the same uncomfortable truth: the majority of leads generated at trade shows and exhibitions are never followed up properly. Now that is shocking! It’s never out of spite, but usually out of the post-show hangover.
Let’s face it. After two or three intense days out of the office, away from emails and the regular rhythm of daily work, your team returns to a mountain of unread messages, urgent client requests, and a diary that’s been quietly filling up while they were away. Those leads that felt so hot and exciting on the show floor suddenly feel like yesterday’s news.
And by the time someone gets around to exporting the badge scans ten days later, three things will already have happened:
The lead memory fades. The prospect who promised to book a demo has since attended two more events, spoken to thirty other companies, and can no longer quite remember who you were or what made you different.
The cold-shoulder lands badly. A generic email arrives two weeks after the event, “thanks for visiting our stand, here’s our brochure”, and the prospect deletes it and moves on without a second thought.
The competition gets there first. The exhibitor two stands down followed up within 48 hours, booked a meeting, and has already moved that same prospect further down their pipeline.
None of this has to happen. But avoiding it requires a plan that’s in place before the event ends, not after.
Sales Teams, You’re Not On Your Own
Here’s the good news. The post-show hangover hits hardest when the sales team returns to the office and the follow-up falls entirely on them. But it doesn’t have to work that way.
This is the moment to lean into your marketing function, even if that’s one person. A good marketing team takes on the groundwork so the sales team can focus on what they actually do best: having conversations and closing deals.
In practice, that means:
Cleaning and tagging the data. Deduplicating entries, fixing typos, and making sure every contact has the right event source tag so nothing gets lost or miscategorised in the CRM.
Loading and assigning the leads. Uploading the segmented list into the CRM and making sure the right contacts land with the right sales reps without anyone having to manually sort through a spreadsheet.
Drafting the follow-up frameworks. Writing tailored email templates for each lead tier (hot, warm, and cool) so the sales team isn’t staring at a blank page when it’s time to reach out.
For smaller businesses where marketing and sales sit with the same person, the principle is the same, it’s just a case of giving yourself permission to do the admin side first before jumping into outreach, rather than trying to do both at once.
Approaches: Ditch the one-size-fits-all blast
And the good news is, Marketing has the skillset to make the follow up hit the right notes. Like, the need to segment the leads and not to rely on a single, mass email blast to every single person you scanned at the event. A decision-maker who spent 30 minutes in a deep technical discussion with your founder needs a completely different conversation than someone who briefly scanned their badge to enter a prize draw for an iPad.
The solution is to segment your leads immediately into three distinct tiers:
The difference between a follow-up that converts and one that gets ignored almost always comes down to relevance and timing. Get both right across all three tiers and the leads you worked hard to generate on the day start to do the work you invested in them to do.
Getting Your CRM In Order
All of that segmentation and follow-up planning only works if the underlying data is clean and properly organised. And that starts with making sure every lead from the event is processed correctly before anyone picks up the phone or hits send.
It sounds straightforward, but this is the step that most commonly gets rushed or skipped entirely in the post-show chaos. A little due diligence here saves a significant amount of confusion later. At a minimum that means:
- Deduplicating the list and fixing any data entry errors from badge scans
- Applying the correct event source tag so you can track where leads came from
- Assigning each lead to a specific person who is responsible for the follow-up
- Making sure the conversation notes captured on the day are attached to the right contact
- Setting a clear next action and due date against every lead so nothing sits in a queue indefinitely
None of that is complicated. But doing it properly, before the follow-up begins rather than alongside it, means your sales team is working from a clean, organised list rather than a messy export that raises more questions than it answers.
Measuring Outcomes: The 30, 60, and 90-day ROI framework
One of the most common mistakes after an event is trying to measure its success within 48 hours of the doors closing. You wouldn’t judge the effectiveness of an email campaign the moment it lands in someone’s inbox, the same logic applies here. Exhibition ROI takes time, particularly in industries with longer procurement cycles. For some businesses the full picture won’t be clear for six months. For others it could be quicker. But a practical way to track progress is through a 30, 60, and 90-day framework.
30 Days: lead engagement
At the one-month mark, focus on activity and early momentum:
- What percentage of leads were contacted within 48 hours of the event?
- How many follow-up calls or demos have been successfully booked?
- What was the response rate to the segmented email outreach?
This stage tells you whether the follow-up plan was actually executed, not just planned.
60 days: pipeline opportunity
At the two-month mark, shift your focus to what’s actually in the pipeline:
- How many event leads have converted into active, qualified opportunities?
- What is the total value of the pipeline generated from this event?
- Which conversations from the show floor are progressing, and which have gone quiet?
This stage tells you whether the leads were the right quality, and whether the follow-up approach is working.
90 days and beyond: closed revenue and ROI
At the three-month mark, or aligned to your typical sales cycle length, focus on the outcomes you’ve generated:
- How many deals that originated from the event have closed?
- What is the total revenue generated versus the total cost of attending?
To calculate the final number, a simple formula works well:
Event ROI (%) = (Revenue Generated − Total Event Cost) ÷ Total Event Cost × 100
A positive percentage means the event paid for itself and then some. While a negative one may make you think the event wasn’t a success, that’s not always the case, especially for first-time exhibitors or those with longer sales cycles. But what it does do is give you a clear honest starting point to decide whether you want to return.
The Follow Up Is Where It’s Decided
Exhibiting at events is a continuous loop. The insights, lead data, and client conversations you gather post-event aren’t just for closing the immediate deals, they need to feed into your strategy for the next event.
And that’s why the exhibitors who consistently get the best return from events aren’t always the ones with the biggest stands or the most impressive demos. They’re the ones who treat the follow-up with the same discipline and intention they brought to everything that came before it. Who move quickly, communicate relevantly, and give their leads a reason to respond rather than a reason to delete.
So, when you get that right, and master the art of post-event follow-up, you stop treating trade shows as a gamble or a branding vanity project. Instead, they suddenly become one of your most predictable, repeatable and highly profitable growth engines for your business.
